Welcome: Check In

Design team checked in and congratulated Rachel on her recent marriage and Joel on his upcoming wedding.  Joel will be on his honeymoon during the Health Retreat.

 

Health Retreat Design

A.    Undeveloped elements:

1.    Appreciative Inquiry/Community Contributions:  It may be better to lose the fishbowl and devote more time to hearing in large group and some Q & A around the different methodologies. So far we have U Process, Boundary Crossing work of TCE, and still no confirmation from PolicyLink so possible a third approach here could be Claire and social network mapping intro or we could keep it to two to allow more depth.

 

2.    Applications on Day 2: We may be trying to do too much here and incorrectly second guess the interest areas.  One possibility would be to do a case study consultation with CFILC’s program redesign as a more integrated application.  It may be safe to assume that there is always interest in evaluation and alumni or we could use a slightly more open space approach.

 

B.    Other concerns or ideas

 

It was agreed to add a statement about the relationship building and ongoing relationship building to the retreat objectives.  Begin retreat with a strong start, engaging participants immmediately and getting them grounded in their own experience before bringing in others.

 

Appreciative Inquiry - Rachel, Deborah and Charles Sessoms (HiV/AIDS stakeholder in a group applying the U Process); Dianne Yamashiro Omi, Boundary Crossing work of The California Endowment (strategic investment approach supporting eight different leadership development grantees); Deborah reported that she is still waiting to hear back from PolicyLink - they have not confirmed their participation; Social Network Mapping.  All represent different resources and entry points.

 

Deborah had questions and concerns about doing the fishbowl based on a recent experience.  Thought we should first provide each of these groups with an initial block of time to introduce their work and experience, then go on to "Questions and Answers", then break into small groups based upon interest (2:45-5:00 timeframe).  Claire thought we need time upfront to introduce participants to the work of these resources.  Deborah raised that Dianne might want to show the video they have introducing these programs.  First will hear about each of the approaches (Social Network will be introduced on the second day).  Ten minute introduction to allow folks to decide which session they want to go into - Sneak Previews.  Then go into more depth in the sessions.

 

Claire asked what we wanted participants to get out of the breakout time.  Deborah responded that we need to provide enough exposure so that participants can begin to think about how they might apply the model to their own programs.  For example, Cynthia can talk about how LeaderSpring integrated Boundary Crossing into their program.  Some piece of experiential work to give participants the time and opportunity to think about how these models might fit into their own work and programs (journaling?).  Give more time in the large group then break into smaller groups where one can ask deeper questions, etc.  Claire thought it was a good idea to provide more time in the large group to give people enough time to hear about all the approaches.

 

Claire reported that based upon the survey respones, a lot of people were interested in tackling systems change.  Help people at the retreat decide and/or think about what approach would work best for the context in which they are working.  Give time for some journaling where folks would take one of the approaches and think about how it might play out for them.  Rachel added that allowing folks to hear in the large group which approach they would take would be useful.

 

20-25 minutes of 'snapshot' (allow an hour); then group meaning making; then 30-minute breakout into small groups.  We can be flexible - if people want to say in the large group.  Not just questions, but how the approach might be applied in their own work. 

 

Application on Day Two - Deborah thought it might be interesting to do a consultative session - maybe with CFIlC (how move more towards scale and scope of influence).  Then could move into Open Space with 'Evaluation' and 'Alumni,' both of which were an interest area for many programs. 

 

Social Network Map - draw peoples attention to the map; move up the social network map to allow folks to connect, especially at dinner and after.

 

If we want to do a case study, would need preparation time in terms of resources.  Rachel liked the ideas of having a case study as an option.

 

 

Last day - 'Sustainable Networks' and 'Evaluation' can serve as anchors for sessions and leave room for people to offer their suggestions for work that needs to be done (10:30-11:30 slot on the Second Day).  We would want at least a half hour for the 'what next.'

Roles and Responsibilities

A.    Facilitation:  Last year’s shared facilitation worked great.  Any volunteers for facilitating some of the different sections?

B.    Help with documentation in small group work?

 

Design Team members might be called upon to document the work of the smaller groups.

 

 

Evaluation Approach

A.    How do we want to evaluate our ability to achieve our objectives both in real time and as a follow-up to the retreat?

 

Evaluation immediately following meeting or post-meeting? Both?  Are there areas they would like us to focus on that have not been addressed?  Deborah thought we could also use the stated objectives as a guideline for the evaluation.  Claire thought we might use the evaluation used at the Boundary Crossing convening as a model for this group.

 

Network Map - As people look at the map, do they see something that is surprising?  What does it mean for the work we will be doing?  Have folks cluster themselves in relation to where they are on the map.  What are the intersections for various interests?  How to keep this integrated through the entire meeting.
